- Craft clear, professional project reports (inception, progress, final) using data, visuals, and narrative to tell a story of results.
- Review, refine, and pitch proposals and reports effectively to funders and stakeholders.
- Use modern writing tools and digital practices (collaborative platforms, data visualization) to improve efficiency and persuasiveness.
Course Outline
Module 1: Foundations of Proposals & Reporting
- Understanding the purpose and differences between proposals and reports
- Key writing principles: clarity, structure, tone, objectivity
- Defining your audience: funders, communities, internal stakeholders
- Types of reports: technical, narrative, MEAL, financial
- Exercise: Review sample proposals and reports (good and poor) and identify best practices and common pitfalls.
Module 2: Crafting Winning Proposals
- Core components: executive summary, problem statement, objectives, methodology, and evaluation
- Logical Framework Approach (LFA) for organizing objectives and activities
- SMART objectives and intervention justification
- Matching donor requirements: adapting to different templates (e.g., USAID, EU)
- Workshop: Participants draft a mini proposal section (problem + objectives) based on a real or hypothetical scenario.
Module 3: Planning & Budgeting for Proposals
- Creating work plans: Gantt charts and timelines
- Budget development: cost estimation, justification, and sustainability
- Risk analysis and mitigation planning in proposals
- Designing Monitoring, Evaluation, and Learning (MEAL) frameworks within proposals
- Case Study: Use a sample project to build a detailed workplan, budget, risk matrix and MEAL plan.
Module 4: Report Writing That Demonstrates Impact
- Structuring different types of reports: inception, progress, final, donor specific
- Effective use of data and visuals (charts, tables) to show results and lessons learned
- Writing lessons learned, challenges, and recommendations in a compelling way
- Avoiding common issues: verbosity, poor flow, missing evidence
- Exercise: Participants take a rough report draft, revise it for clarity, structure, and impact.
Module 5: Refinement, Pitching & Presentation
- Peer and expert review of proposal and report drafts
- Pitching your proposal: presentation techniques, messaging, and answering tough questions
- Feedback loops: refining documents based on critique
- Personal action plan: applying and sustaining improved writing beyond the course
- Capstone Project: Present and submit a complete mini proposal and summary report; receive and act on peer and trainer feedback.
Course Administration Details:
METHODOLOGY
The instructor-led trainings are delivered using a blended learning approach and comprise presentations, guided sessions of practical exercise, web-based tutorials, and group work. Our facilitators are seasoned industry experts with years of experience, working as professionals and trainers in these fields. All facilitation and course materials will be offered in English. The participants should be reasonably proficient in English.
ACCREDITATION
Upon successful completion of this training, participants will be issued a Skillstate Institute certificate.
TRAINING VENUE
The training will be held at a Skillstate Institute Training Centre. The course fee covers the course tuition, training materials, two break refreshments, and lunch. All participants will additionally cater to their travel expenses, visa application, insurance, and other personal expenses.
